1. Focus and Scope

This Privacy Policy applies to the academic journals published by the Necmettin Erbakan University Development Foundation (hereinafter ‘NEVA’) (Journal of Paediatric Infectious Diseases, Journal of Paediatric Genetics, Journal of Paediatric Epilepsy, Journal of Paediatric Neurology, Journal of Child Science, Journal of Paediatric Intensive Care, Mathematical Modelling and Numerical Simulation with Applications) and explains the purposes for which, and the manner in which, personal data submitted to NEVA by authors, reviewers, editors, readers and other paying individuals (“Users”) is processed, protected and stored.

NEVA may update this policy as it deems necessary; the current version is published on NEVA’s official website.

2. Personal Data Collected

NEVA may process the following personal data in connection with journal submission, review, publication and related payment processes:

  • Identity details: first name, surname
  • Contact details: email address, telephone number, institution/address details
  • Academic details: academic title, affiliated institution, ORCID number, article/work details
  • Payment transaction details: transaction amount, date, currency, transaction reference/order number, payment method (credit/debit card or bank transfer)
  • Bank transfer/ Electronic Funds Transfer (EFT) details: sender’s first name and surname/title, last four digits of the sender’s IBAN, sender’s bank, details entered in the description/reference field
  • Transaction security details: IP address, browser and device information, transaction log records

Important note: For payments made by credit/debit card, card details such as the card number, expiry date and CVV/CVC are not recorded, stored on NEVA’s servers or processed by NEVA; these details are collected and processed directly via the secure payment (virtual POS) infrastructure of an authorised bank or payment institution operating in compliance with PCI-DSS standards. For payments made via bank transfer/EFT, NEVA only displays the sender’s name/title as shown in the bank account transaction history, a portion of the sender’s IBAN details and the information in the reference field via its own bank account, solely for the purpose of correctly matching the payment to the relevant transaction.

3. Method of Collecting Personal Data

Personal data is collected electronically via journal management systems (article tracking/submission platforms), NEVA’s website and payment pages, email correspondence and electronic forms, based on the User’s own declaration.

4. Purposes of Processing Personal Data

  • Managing the review, peer-review and publication processes for articles submitted to journals
  • Collecting and accounting for article processing charges (APCs)
  • Processing and verifying payments, and managing any refund or dispute requests
  • Communicating with users, providing information and support
  • Fulfilment of legal obligations (tax, accounting, auditing, etc.)
  • Prevention of fraud and unauthorised transactions, and ensuring transaction security

5. Transfer of Personal Data

The personal data collected may be transferred, to the extent necessary and in accordance with the relevant legislation, to the contracted bank or payment institution for the purpose of processing the payment; to authorised public bodies and institutions within the framework of legal obligations; to third parties providing audit and accounting services; and to journal management system providers for the purpose of carrying out the journal’s editorial and publication processes.

6. Data Security

NEVA takes appropriate technical and administrative measure to prevent the unlawful processing of and unauthorised access to the personal data it processes, and to ensure the security of such data. Payment transactions are carried out via the infrastructure of the bank or payment institution, which complies with SSL/TLS encryption and PCI-DSS security standards.

7. Cookies

NEVA’s website may use essential and functional cookies to ensure the website functions properly, to improve the user experience and to ensure transaction security. Users can manage their cookie preferences via their browser settings.

8. Users Rights

Users may exercise their rights under the Law on the Protection of Personal Data No. 6698 with regard to their personal data. Detailed information regarding these rights is set out in the ‘KVKK Clarification Text’ published alongside this policy.

9. Policy Changes

This Privacy Policy may be updated in line with any changes to legislation or to NEVA’s data processing activities. The current version is always available on NEVA’s official website.
